Work order / AI automation

The busywork, off your plate — set up right the first time.

DistroProd builds AI-powered automations for San Diego small businesses: missed-call text-back, lead follow-up, scheduling, quotes, intake, and reporting — around the phone line, calendar, and software you already use. We come to you, map the work, and set it up end to end.

  1. Log 01

    Outbound calling

Our reps dial from a power dialer we built. It works the list, logs every outcome, and keeps do-not-call numbers out.

  2. Log 02

    Commission statements

Sales reports are imported into our portal, which works out each rep's weekly commission statement.

  3. Log 03

    Hiring paperwork

Agreements and notices are reviewed and e-signed in the portal. No printer, no scanner, no chasing.

  4. Log 04

    Job applications

Applications from our careers page are captured the moment they're sent — nothing lost in a text thread.

    Backups & list hygiene

Scheduled backups and do-not-call scrubs run on their own, so nobody has to remember.

Sec 01 / What we automate

Six line items. Start with one.

The best first automation is the one costing you a customer or an evening every week. Each of these is built around the tools you already have — no rip-and-replace, no new logins for your team.

SVC-04.1 — Missed calls

Missed calls & after-hours

Every call gets answered or texted back within moments, with the caller's details captured and routed to you instead of a voicemail nobody checks.

  • Missed-call text-back
  • After-hours answering & booking
  • Caller details logged, not lost

Your existing phone number

SVC-04.2 — Follow-up

Lead follow-up

A new inquiry from your website, Google listing, or inbox gets a reply in minutes and a polite nudge until they book or say no.

  • Instant reply on every channel
  • Sequence stops when they answer
  • You see every conversation

Your inbox, texts & CRM

SVC-04.3 — Scheduling

Scheduling & reminders

Customers book, confirm, and reschedule on their own. Reminders go out ahead of time so fewer people forget.

  • Booking from your site & texts
  • Confirmations & reminders
  • Your calendar stays the source of truth

Your calendar

SVC-04.4 — Quotes

Quotes & invoices

Estimates drafted from your own price list in minutes. Invoices sent the day the job is done, and chased when they're late.

  • Quote from a text or photo request
  • Invoice & payment-link sending
  • Late-payment reminders

QuickBooks, Square or your app

SVC-04.5 — Intake

Intake & paperwork

New-customer forms, onboarding packets, and documents filled, signed, and filed where they belong — entered once, not three times.

  • Digital intake forms & e-sign
  • Documents sorted & filed
  • Data entered once

Drive, Dropbox or your system

SVC-04.6 — Reporting

Reporting

The numbers you check every Monday — jobs, leads, cash — delivered to your phone without the spreadsheet work.

  • Weekly summary, by text or email
  • Pulled from tools you already use
  • Flags what needs attention

Delivered by text or email

Sec 02 / How it works

Walk-through, build, run

  1. Step 01 — Walk-through

    We come to you

We meet at your business and watch how the work actually happens — the phones, the inbox, the forms. We pick the one or two automations worth doing first and put the scope and price in writing.

  2. Step 02 — Build & test

    We build around your tools

We build on the accounts you already have, test with your real cases, and keep a person in the loop on anything customer-facing until you're confident.

  3. Step 03 — Run & support

    We keep it running

Go-live, then we monitor it, fix what breaks, and adjust as your business changes. The accounts stay in your name — you own everything we build.

Sec 03 / Ground rules

How we work

Automation touches your customers and your money, so these are the rules we hold ourselves to on every job.

You own it

Accounts and tools are set up in your name. If we ever part ways, everything keeps working and stays yours.

Your data stays yours

We connect only what an automation needs, and we never use your customer data to train anything.

People stay in the loop

Anything customer-facing or money-related gets an approval step until you decide to turn it loose.

Tool-neutral

We build on what you already run, and recommend new tools only when they fit — not on a reseller margin.

Priced in writing

Fixed scope, fixed price, before we build. Changes are quoted the same way, before the work.

Local & in person

Based in San Diego. We come to you for the walk-through, the hand-off, and whenever something needs a look.

Sec 04 / Questions

Questions owners ask us

Do I need new software?

Usually not. Most automations connect the phone line, calendar, inbox, and invoicing tool you already have. When something new is genuinely needed, we say so and tell you what it costs per month before we build.

What does it cost?

Every scope is priced in writing after the walk-through and before we build. You'll know the build price and any monthly running cost — tool subscriptions, phone minutes — up front, with no hourly surprises.

How long does it take?

We scope the first automation small enough to go live quickly and prove itself. Bigger builds are broken into stages you approve one at a time.

What happens when it breaks?

We monitor what we build and fix what breaks. Ongoing support is part of the scope we put in writing, not a separate ticket queue.

Will it replace my staff?

It replaces the repetitive parts of their day — the retyping, the chasing, the phone tag — so the people you have can do the work that needs a person.

Is my data used to train AI?

No. We connect only what the automation needs, and we never use your customer data to train anything. Access is limited to the accounts you approve.

Can you also handle our internet and phone?

Yes — that's where DistroProd started. One visit can cover connectivity and automation, and the same person is accountable for both.
